Who receives a recap after a meeting ends, what it contains, and how to change the list.

Who gets the recap

When a meeting ends, the recap is sent to everyone who was in the room rather than to the host alone. That includes the person who scheduled it, any Heyno users who attended, and guests who were invited by email address but do not have a Heyno account.

The recipient list is resolved at the moment the meeting ends, not when it was scheduled. Somebody added to the invite an hour before the meeting receives the recap; somebody who declined does not.

Where an attendee is a Heyno user, the address used is the one on their account. Where an attendee was invited as a guest, the address used is the one on the invitation.

What the recap contains

A summary of what was discussed, the decisions that were reached, and the action items with an owner attached to each. Action items are extracted as a list rather than left inside the prose, because that is the part people come back to.

The recap is also filed as a document in Drive, in the meeting documents folder, so it is searchable later without going through email. The emailed copy and the filed copy are the same document.

Changing the recipients

The list can be edited before the recap sends. Anyone can be removed, and additional addresses can be added for people who were not in the meeting but need the outcome.

A meeting can also be marked so that no recap is sent at all. That setting is per meeting, not per account, so it does not silently persist into the next one.

Ad-hoc meetings

Meetings started on the spot, without a calendar invitation, previously had no recipient list to resolve and so sent no recap at all. They now resolve a list from the participants who actually joined, falling back to the host if nobody else can be identified.
